Free booking tools and what they actually cost you
Free tiers are real. So are the three limits that show up in month two: staff, payments, and reminders.
What "free" usually means
| Tool | Free includes | Where it stops |
|---|---|---|
| Fresha | Calendar, marketplace, clients, reminders | Payments go through their processor |
| Square Appointments | One calendar, basic booking | Second staff member, advanced reminders |
| Calendly (free) | One event type, unlimited bookings | No payments, no intake forms, no team routing |
| Google Calendar appointments | Simple paid booking page | Limited customisation, few automations |
The three limits that matter
1. The second chair
Most free tiers are single-calendar. The day you hire, you are on a paid plan. Budget for it before the hire, not after.
2. Payments
Free booking plus a separate card reader means two systems and manual reconciliation. Free booking with built-in payments means their processor rate, often 1.5-2.9%. On $8,000 a month, that is $120-230 — usually more than the "paid" plan you avoided.
3. Reminders and no-shows
Free tiers often include one reminder. One reminder is the setting that produces no-shows. If you cannot send a 48-hour and a 3-hour message, the free tool is costing you appointments.
When free is the right answer
- You are pre-launch and testing demand.
- You are solo with a simple 30-minute service.
- You take payment in person and always have.
When to pay
Pay as soon as one of these is true: you hire, your no-show rate passes 10%, or you are reconciling payments by hand more than once a week. At that point $15-30 a month is not a cost, it is the cheapest fix available.
Practical path
Start free with Fresha if you need a marketplace and a calendar today. Move to Booksy when discovery is what limits growth. If you already take cards with Square, stay with Square Appointments and upgrade the plan the week you hire.
