Review reply templates for negative reviews

You are not writing to the person who complained. You are writing to the forty people who read that review before booking.

Why the reply outranks the review

Almost nobody reads a two-star review in isolation. They read it, then they scroll down to see whether the business answered like a professional or like a wounded owner. A calm, specific reply converts better than a wall of five-star ratings, because it is the only place a stranger can see how you behave when something goes wrong. The test is not "did I defend myself" — it is whether a nervous first-time client reads it and thinks they will sort it out if it goes wrong for me.

The four lines every negative reply needs

  1. Acknowledgement. Name the experience without arguing the facts. "You came in for a colour and left unhappy with the tone" is not a confession, it is proof you read it.
  2. Ownership without excuses. One clause, no staffing stories, no "we were short-handed because". Excuses read as a preview of how you will handle their problem too.
  3. The specific fix. What you changed, or will change, in the business. Specific beats apologetic: "we now photograph the agreed shade before we start" is worth ten sorrys.
  4. An offline door. A phone number or email and an invitation to continue privately. It moves the argument out of public view and shows observers you are reachable.

Four sentences, under 90 words, no bold, no emoji, no coupons. Long defensive replies are the single most common mistake in local reputation management.

Word-for-word templates

They waited 25 minutes past their appointment

"You booked a time and we did not start on it, and that is on us. We have moved our last appointment of the day earlier so a late client no longer pushes the whole evening. If you give us another chance, call the shop and we will block a double slot at no extra charge."

The result was not what they asked for

"This is not the result you asked for and I understand why you are annoyed. Our stylist has reviewed the consultation notes with the team and we now confirm length and shade in writing before the first cut. We would like to fix it in person this week, at no cost. Please call us on the number below."

"Too expensive for what it is"

"Our prices include the consultation, the products and the follow-up, and we should have made that clearer before you sat down. We are adding a short price breakdown at booking so nobody is surprised at the counter. If you would like to talk through what you were charged, we are on the phone below."

They want a refund and you already offered one

"We agreed a refund on the 12th and it was processed the same day, so the delay is with your bank rather than with us. If it still has not arrived, message us and we will chase it with the processor together. We are sorry the appointment did not work out."

Our refund request guide covers the wording for partial refunds and deposits.

It looks fake, or it is a competitor

Do not accuse anyone in public. Reply once, factually: "We have no record of an appointment under this name on this date. We would like to look into it, so please contact us with your booking reference." Then use the platform's dispute form — Google Business Profile, Yelp for Business and Trustpilot all have one. If the review violates policy it usually comes down within a week, and the reply stays as evidence that you tried.

Someone was injured or made a complaint about safety

Keep it to two lines and no detail: "We take this seriously and have already contacted you directly to understand what happened." Never discuss a client's treatment, health or account publicly. That is a privacy problem, not a marketing one.

What never goes in a reply

Who replies, and how fast

One named person owns reviews, with one backup for holidays. Reply within 48 hours, while the details are still fresh. Keep a shared note with the booking reference, what happened, what was offered and the reply sent — that log is what stops the same complaint being handled two ways.

Our platform comparison covers which review sites actually move local search, and the intake form is where most "they did not listen" complaints are prevented in the first place.

The test before you hit publish

Read it as a stranger choosing between you and the shop two streets away. If it sounds like a person who fixes things, publish it. If it sounds like a company protecting itself, write the four lines again.

Frequently asked

How long should a reply to a bad review be?

Under 90 words. Acknowledge, own it, state the fix, give a phone number. Anything longer reads as an argument.

Should I reply to a review that is obviously fake?

Yes, once, factually, without accusing anyone. Then use the platform's dispute form and keep the reply as evidence you tried to resolve it.
