Best booking software for massage therapists

A massage calendar has one job: keep the room full without stacking two bodies into one hour. Everything else is decoration.

Some links below are affiliate links. If you book a paid plan through them, OpsPick may earn a commission at no extra cost to you. Pricing changes often — check current pricing on the provider's site before you commit.

What the room actually demands

Massage is time-boxed by the body. A 60-minute session is never 60 minutes of your day: there is undressing, talking, dressing, changing linen, and the notes you write afterwards. Software that only understands "60-minute slot" will slowly eat your lunch break.

  1. Turnover buffer built into the service — 10 to 15 minutes after every appointment, applied automatically, not remembered by hand.
  2. Room-level calendars — two rooms means two schedules, or you will double-book the table you do not have.
  3. Intake before arrival — health questions answered while the client is at home, not while they are half undressed.
  4. Deposits or card on file for new clients, so a first-time no-show is an annoyance rather than a lost hour.
  5. Notes that survive — pressure, areas to avoid, allergies, "hates lavender".

The three tools, honestly

Booksy

Built for appointment businesses with staff, and it shows. Per-staff scheduling, intake forms attached to the booking, reminders with a confirm button. The catch is the monthly per-staff fee plus a commission on new clients who find you through their marketplace. Worth it if you want discovery; unnecessary if your books are already full.

Fresha

Free core, no per-staff charge, marketplace included. It is the easiest starting point for a solo therapist. The trade-off is payments: deposits and card-on-file run through their processor, so you are not really "free" once money moves. Read the payment terms before you promise clients a card hold.

Square Appointments

The right answer if you already take cards on Square. One dashboard for payments and bookings, and the free tier is fine for a single therapist. Multi-staff scheduling sits behind the paid plan, and there is no marketplace — you bring your own clients, which many therapists prefer anyway.

Turnover is the setting nobody configures

Almost every tool lets you add padding between appointments. Almost nobody turns it on, because an empty slot looks like lost money. Then the day runs ten minutes late from the first client and never recovers, and the last appointment of the day gets a therapist who is watching the clock.

Add the buffer to the service itself rather than to the calendar. A "60-minute massage" that occupies 75 minutes of your day is honest; a 60-minute slot you secretly stretch is a promise you break four times a day. If the buffer costs you one slot, price accordingly instead of squeezing it out of the client.

Intakes and deposits, without the friction

Send the intake form in the same message as the booking confirmation. Keep it to the questions that change what you do on the table — injuries, pregnancy, medication, areas to avoid, pressure preference. Anything that would not change your hands does not belong on the form.

Deposits are simpler than therapists expect. Apply them to new clients only, make them refundable up to 24 hours before, and say so in one sentence on the booking page. Existing clients who have shown up ten times do not need a card hold; they need to be recognised.

What I would do

Solo therapist, first year: Fresha on the free plan, 15-minute buffers on every service, deposits for new clients, two reminders.

Two or more therapists sharing rooms: Booksy for the per-staff calendars and the intake flow, or Square Appointments if you already bank with Square and would rather not run two systems.

Whichever you pick, spend your first afternoon on the buffer and the deposit policy. Those two settings decide whether the software helps or just makes the calendar prettier.
